Throughout this month’s newsletter, we’re focusing on one of the hottest topics in our industry today: Sustainability. How you achieve these goals and stay within budget is on the top of everyone’s minds. In this month’s newsletter, we explore different sustainable ideas. CEMA Summit 2024 will take place at Seattle’s new Summit Convention Center, one of the most sustainable venues in the country, and we are excited to host our annual family reunion in this building. Tours of this sustainability icon are just one of the many ways you will see CEMA show up as more earth-conscious this year.
The second half of the year will be jam-packed with CEMA events nationwide. From Study Tours at Workday Rising and the Country Music Awards, to local Pop-up networking events at Dreamforce and IMEX, read more to see what’s coming to a community near you.

Elevating the Attendee Experience when Executing Events at Scale
Takeaways and reflections from our latest Study Tour by Advisory Board Secretary Richard Steinau | Senior VP, Bellwether
Who would be crazy enough to propose building a massive pool in an NFL stadium…and then actually do it!? Aren’t there 100+ competition pools in the U.S. where this could be done without the additional expense? These were only 2 of the many questions I brought with me to the Study Tour of the U.S. Olympic Swim Trials in Indianapolis, hosted by the gracious Visit Indy.
Along with 22 other CEMA members, we spent 24 hours immersed in exclusive behind-the-scenes access and met with 3 incredible panels of leaders from the U.S. Olympic Swimming Foundation, Lucas Oil Stadium, Indiana Sports Corporation, Gainbridge Fieldhouse, the NBA All-Star planners and the NCAA Championships panel. They shared invaluable insight and best practices for executing events at a massive scale while never losing sight of the most critical goal: expand the fan base.
Why an NFL stadium? Because it gave them the space and infrastructure to not only host 20,000+ people (a new world record!) but also elevate the overall experience for every attendee. During our VIP tours prior to the competition, we gained a sense of how impressive and complex the production would be. Then the competition began and, as we sat in a private box (thank you, Visit Indy!), we were each in awe of how incredible the experience was. But far and away, the best part was the personal connections we made with other CEMA members as we shared a once-in-a-lifetime experience. Oh yeah, and we’re now all huge U.S. Swimming fans. USA! USA! USA!
Event Recaps – Thought Leadership NYC & Chicago
We are thrilled to report the successful conclusion of our recent Thought Leadership Power Panels in New York City and Chicago. Both events fostered engaging conversations and excellent networking opportunities.
We kicked off the Thought Leadership panel in New York City with a vibrant audience eager to delve into insightful discussions. The panelists, comprising industry leaders and innovators, shared their expertise on key industry trends. The dialogue was both stimulating and informative, prompting many thought-provoking questions from the audience.
The Chicago panel mirrored the success of New York, with a dynamic crowd and engaging discussions. Panelists addressed similar topics as New York, sparking lively debates and exchanging valuable insights. Attendees had ample opportunities to network, resulting in fruitful connections, and building professional relationships that promise to extend beyond these events.

MEMBER SPOTLIGHT
This month, we’re excited to highlight a CEMA member working hard on sustainability —specifically at the Workday Rising event. Missy Castro, Senior Experience Marketing Manager, has been with Workday for the past 7 years. She is new to CEMA and excited to attend her first Summit this year. We recently had the opportunity ask Missy a few questions regarding CEMA and Sustainability.
- What do you like about the events Industry?
I love that while global events feel so huge, it is really a small, tight-knit community. Events are challenging, and it takes a special personality to lean in and find the joy, fun, and purpose in planning them, further supporting the community aspect of this work. - How did you get involved in sustainability?
I’ve always had a personal passion and curiosity in learning about the environment with documentaries, new gadgets, technology, etc. I was able to build on that during my time on the People and Purpose (our word for HR) team at Workday, leading our global Green Teams. Within that role, I was able to learn more about the true purpose in creating impact. For example, a single plastic straw CAN make a difference, how I shop for clothes can reduce waste, sharing what I learn with others can lead to positive change.
When I joined the Experience Marketing team, leading sustainability was part of my role for Workday Rising, our annual customer conference. I was excited, but having a great mentor in a woman leader at George P. Johnson Agency (GPJ) especially fueled my passion. Her enthusiasm and knowledge really pushed me to do more, and to try new things. With her guidance and building off my passion and expertise, I see a lot of great opportunities in changing the narrative around sustainability and events – showing the positive impact we can make in the space. - How is Workday involved specifically in sustainability?
We integrate sustainability into everything we do and measure our success not only in financial terms, but also in how we impact the world. We partner with other climate-focused leaders worldwide who believe it’s our collective responsibility to support a more sustainable future. Workday’s Chief Sustainability Officer leads our global corporate sustainability efforts, which includes our commitments to source 100% renewable electricity, achieve net-zero carbon emissions across our offices, data centers and public cloud, and business travel, and more. Workday also looks to fund projects that promote local workforce development, add health and well-being benefits for the local community, and works toward creating a just transition to a sustainable future. I saw an opportunity to build on what we were doing as a company, mapping our largest flagship event – Workday Rising – to those meaningful actions and initiatives. - What are you most looking forward to during the Workday Study Tour?
To me sustainability is for all, and I see immense opportunity for the event industry to share our best practices, tips, and resources. Why can’t we partner with the company in the space before or after us to share furniture, plants, and resources? Why can’t we promote the vendors that support sustainable business practices? Why can’t we share menus across events at the same hotel? The only way we will be able to change the approach to event production is to help each other. Sustainability is not a trade secret – it is truly showcasing how we can sustain on the planet by supporting the environment, wellness, and the community.

I’m Mykayla Smith, the new Community Manager for CEMA. I’m originally from metro Detroit and have lived in Chicago for the last 6 years. My background is in hospitality and event planning – my previous position was the Event Manager for a venture firm in the technology ecosystem.
I love working on the community team because I love building relationships and helping people find a sense of belonging – no matter the organization. I’m excited to be part of the CEMA community and can’t wait to meet all the members!
When I’m not working, I love doing yoga, seeing live music, and spending time with my dog. I’m currently watching Ted Lasso (for the first time) and can’t believe it took me this long to check it out.

I’m a passionate event manager with more than 10 years of experience, and I enjoy collaborating with others to make memorable experiences for attendees. Beyond my professional endeavors, I find my joy in traveling, exploring new restaurants, experimenting with hobbies, and cherishing moments with family and friends. I’m a true Chicagoan, until Chicago ends!

CEMA Labs: Philadelphia
On June 20th, Team CEMA arrived in Philadelphia along with PCMA Event Leadership Institute instructors Tammy Moore and Vinnu Deshetty for a deep dive into event measurement and analytics, plus practical skills in storytelling and crafting a compelling narrative from data to elevate event planning and execution. We caught up with Tammy, who shared key takeaways from event participants.
At the end of the session, Tammy went around the room and asked participants, “What did you learn from this session that you can take away and start implementing tomorrow?” Here were their responses:
- Set and agree on metrics with key stakeholders for an upcoming inaugural event
- How to partner better with stakeholders
- Leverage losses to advocate for change
- Loved the parking lot to place my distractions so I can focus on learning and engaging in the session
- Prompted me to think about dashboards differently
- How to use data I have access to more efficiently
- Reinforce our purpose, KPIs and goals – we’ve gotten away from it and need to refocus
- Avoid “let’s look at metrics” and then leaving the conversation without follow-up
- ID stakeholders and align if attendees meet the target
- Prepare metrics – what do I want from them
- What are the goals
- Where are we now
- Create a plan to get where we want to be
